Before accepting a rental

Keep the conversation factual and tied to the written policy, claim correspondence and documents you can verify.

  • Get the authorizing party and reference number
  • Ask for the approved start and end condition
  • Confirm vehicle class and stated monetary limits
  • Ask which taxes, fees, deposits or extras are included
  • Review your own policy and rental agreement
  • Set a reminder before the current authorization ends

Rental file

Save originals and maintain a short communication log so requests, promises and open questions do not disappear across calls.

  • Authorization and extensions
  • Reservation and rental agreement
  • Pickup condition photos
  • Charges and payment method
  • Repair or total-loss status updates
  • Return receipt, fuel and final invoice

Questions worth asking

Ask the insurer and rental company separately what each one has authorized, what you could owe directly and how an extension must be requested.
